Assistant (Secretary to diplomats) 
At the Permanent Mission of Japan to the United Nation
(Political Section)
 
 
1. Responsibilities include, but are not limited to:
  1. Taking minutes from various UN meetings including Security Council and General Assembly and report findings to officers.
  2. Give oral or written briefings to officers dependent on the situation
  3. Receive dictation from officers, take accurate and quick notes, and keep records or write up summaries as required
  4. Research topics related to the UN and Japan as required by officers.
  5. Assist the official functions behind the scenes.
  6. General secretarial work such as responding phone calls, managing appointment schedules for officers, coordinating logistics/protocol for conferences, meetings, briefings, receptions, and other official functions, drafting diplomatic correspondence, etc.
 
2. Requirements/Preferences:
  1. U.S. citizenship or green card required
  2. Computer skills, typing skills (60wpm minimum) and excellent English writing and verbal communications skills required
  3. College degree preferred
  4. Basic knowledge of international affairs and diplomacy preferred
  5. Familiarity with Japanese language and culture preferred

Administrative Assistant (Property Management)
Permanent Mission of Japan to the United Nations

 
      (1) Required Status
 
  1. Candidates must be US citizen or non-US citizen currently with a legal status that allows him/her to stay for an extended period, preferably on permanent basis, and legally work in the US.
 
  1. (Preferred) Japanese verbal communication, reading and writing skills.
 
  1. Excellent English skills such as writing, speaking, reading and listening.
 
  1. (Preferred) Work experience related to Property Management.
 
     (2) Position
           Full time non-exempt (i.e. entitled to overtime pay).
 
     (3) Working Days and Hours
            5 days per week, Monday through Friday, 8h45m (with an unpaid one-hour lunch break) / day.
 
     (4) Salary
           Commensurate with applicant’s work experience.
           Job Type: Full-time
 
     (5) Job description
           You will be working as an assistant to the building Management team for properties rented and owned by the Mission of Japan (chancellery and two residences). The job should be mainly (but not limited to) as follows.
           
  1. Property Management eg. Painting, Mechanical, Electrical and Mill work companies (based on management requests)
  • To set up appointments
  • To inquire and research about technical and legal issues concerning the Mission’s properties
  • To coordinate with Building Management and Mission staff concerning property management
  • To request quotations from and correspond directly with vendors
  • To edit and draft official contracts and correspondences in English
  • To inspect construction progress on various projects
  • To confirm whether work by vendors have been completed satisfactorily
 
  1. Accounting and Administration
  • To maintain various service contracts
  • To manage accounts payable for Mission rented properties and services
  • To keep stock and inventory for Mission supplies
 
  1. Miscellaneous Jobs
  • To dispatch letters or packages.
  • To aid in the facilitation of Mission receptions as help staff
  • To aid in the facilitation of operations for dignitary visits
