The Permanent Mission of Japan is looking for local staff in the Social Section.
Job Description
- Administrative Assistant in charge of supporting and engaging in duties pertaining to the Social Section (please see below for detailed descriptions of expected job responsibilities).
- Full-time local staff, Monday through Friday. 7 hrs 45 min./day (9:30am-6:15pm with 1 hour lunch break)
- 3 months probation period required. 2 years (including probation period) with possible extension.
- Excellent and professional English writing, verbal communication skills and computer skills required.

- Professional English writing and verbal communication skills, computer skills, touch typing skills – required
- Bachelor's degree – required
- Japanese language skills and cultural familiarity – preferred
- Basic Knowledge of the United Nations and diplomacy – preferred
4,500~5,000 USD/month (Commensurate with each applicant’s work experience)
Detailed descriptions of expected job responsibilities
Responsibilities include, but are not limited to:
- Preparing and making necessary arrangements for conferences, meetings, briefings, events, and other official functions as well as appointments, including communication with the UN, other Missions and relevant organizations and entities
- Monitoring and reporting on UN and other meetings as required by diplomats as well as researching and reporting on relevant information
- Tracking UN and other meetings in addition to other UN related events as required by the diplomats, and assisting in the scheduling of the Section and diplomats
- Assisting public relations activities, including those on digital platforms
- Drafting and editing letters and diplomatic correspondence and arranging for necessary means of communications including deliveries
- Assisting and engaging in any other duties assigned by supervisor
- Communicates appropriately and efficiently with professional etiquette in a timely manner, including in telephone calls and e-mails
- Sets highest standard of quality, productivity and professionalism for self
- Analyzes and integrates verbal, numerical and other types of data
- Rapidly learns new tasks and quickly commits information to memory
- Able to balance multiple tasks under high pressure circumstances
- Demonstrates problem solving skills
- Able to work independently and as a member of a team
